Receipt Data

  • Receipt images: Photos you upload through the web interface
  • Email attachments: Images and PDFs forwarded to your unique email address
  • Extracted text: Text extracted from receipts using optical character recognition (OCR)
  • Processed data: Merchant name, amount, date, category, and other extracted information

Usage Data

  • Upload timestamps: When receipts were submitted
  • Source: Whether receipts came via web upload or email

2. How We Use Your Information

We use your information to:

  • Create and manage your account
  • Process receipt images using AI-powered OCR and classification
  • Populate your Google Sheet with extracted expense data
  • Detect and prevent duplicate entries
  • Improve our AI models and service quality
  • Communicate with you about your account or the Service

3. How We Process Your Data

When you submit a receipt:

  1. The image is resized and stored securely
  2. We use Google Cloud Vision to extract text from the image
  3. An AI model (Google Gemini) analyzes the text to extract merchant, amount, date, and category
  4. The extracted data is added to your Google Sheet

Our AI processing is automated. Human review only occurs if you request support assistance.

4. Data Residency - Stored in Canada

Your receipt images and database records are stored in Canada, specifically in DigitalOcean's Toronto (TOR1) data center.

Some processing services we use (Google Cloud Vision, Google Gemini AI) may process data in other jurisdictions. However, receipt images and your personal information are stored and retained only on Canadian servers.

5. Data Retention

  • Active accounts: Data is retained for the duration of your use of the Service
  • After account closure: Data is retained for 90 days, then permanently deleted
  • Deletion requests: Upon request, we will delete all your data within 30 days

6. Data Sharing

We do not sell your personal information. We share data only in these circumstances:

  • Service providers: Google (Cloud Vision, Sheets, Gemini AI), DigitalOcean (hosting)
  • Legal requirements: When required by law or to protect our rights
  • Business transfers: In connection with a merger, acquisition, or sale of assets

7. Your Rights (PIPEDA)

Under the Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request correction of inaccurate personal information
  • Deletion: Request deletion of your personal information
  • Withdraw consent: Withdraw your consent for data processing at any time

8. Security

We implement appropriate technical and organizational measures to protect your data, including:

  • Encrypted connections (HTTPS/TLS) for all data transmission
  • Secure, access-controlled storage systems
  • Unique, unguessable upload URLs for each user
  • Regular security reviews and updates

9. Google Sheets

Your expense data is stored in a Google Sheet created specifically for your account. This sheet is shared with your email address as a viewer. The sheet is created and managed by our service account and is subject to Google's terms of service and privacy policy.

10. Cookies and Tracking

We do not use tracking cookies or third-party analytics on our upload pages. We may use essential cookies for session management if you access account features.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting a notice on our website or by email. Your continued use of the Service after changes constitutes acceptance of the updated policy.
